Welcome to Yardley Hockey Club. The Management Committee is sure you will enjoy your hockey and the friendly atmosphere at our small Club. Please do encourage anyone you know who is keen to play hockey, even if they have not played for a few years, to join us.

Dear Club Member
Welcome to a new season with Yardley Hockey Club. We shall continue to play our home games at Small Heath Well Being Centre, Muntz Street, B10 9RX. I would like to take this opportunity to congratulate the management on their appointments which were made at the AGM. I am delighted to have been appointed as Chairman for the forthcoming season. I hope that together we can make a success of it.
Good luck to all our captains: Zach Jarvis will continue to lead the 1st X1 in the new Open League T3 SW. Unfortunately, at the Club’s AGM it was decided that we will not be running a second team this season, due to a decline in numbers. Our Fixture Secretary will, where possible, look to arrange games to help bridge the gap between the 1sts and the Badgers. Paul Jarvis continues as Badgers coach, this season again allocated to the Central Conference. Zach Jarvis continues as our Youth Coach. This season our home slots are again 1.00pm – 2.30pm for the 1st X1 and 2.30pm – 4,00pm for the Badgers.
The 1st team and Badgers fixtures are mainly arranged by the MRHA while our own Fixture Secretary may be able to add some early season friendlies.
It is vitally important that the Club has up to date contact details for all members. This includes e-mail addresses, postal and phone contact details. In line with other clubs and organisations Yardley Hockey Club has recently updated its Privacy Policy. If your contact details change then it is your responsibility to inform the Club Secretary as soon as possible. A copy of the policy is included in this circular as well as on our Club web site. The Club has also updated its Membership Forms. All active club members will be asked to confirm their current details and to accept the Privacy Policy. All out of date details will be safely deleted from Club records. No club member’s details are stored on the club website. All personal details will be kept securely by the Club Secretary and no details will be disclosed other than on a need to know basis to the Chairman or Team Captains. We ask for your full co-operation in this matter.

PRE- SEASON INFORMATION FROM THE CLUB SECRETARY
HOME BASE
Due to the closure of the Ridgemere Social Club, the club is moving to the Willclare Sports and Social Club, Willclare Road, Sheldon B26 2NX
Directions:
Getting to the Willclare Club from Small Heath – probably the easiest route is along the Coventry Road, through Hay Mills, passing the Swan Island, at Gilbertstone Recreation Ground left into Manor House Lane, straight on into Ollerton Road. On reaching Barrows Lane virtually opposite St Bernard’s Grange, turn right, as you pass slong the short dual carriageway, turn left into Willclare Road. Pass Field Close on right then look out for Club entrance on right. Small sign on fence.
Alternatively, you can continue along Coventry Road until you reach Brays Road on left. Continue along Brays Road until you reach Barrows Lane. Left. Proceed until you reach the short dual carriageway. Go to end of dual carriageway and double back on your self and look out for Willclare Road on left. Entrance to club after about 200yards on right. Between No 43/45 Small sign on fence.
If approaching from Sheldon along A45, at Wheatsheaf, turn right at lights into Sheaf Lane, continue until reach Horrell Road on left, opposite church, left into Horrell Road, through one mini roundabout look out for Willclare Road on left, cross over Benedon Road and Willclare entrance on left – between Nos 43/45
CAR PARKING AT SMALL HEATH
The Club’s Management Committee would like to remind all drivers using the car park at Small Heath Well Being Centre of the parking procedure that came into operation last season.
Anyone using the car park, players, opposition teams, spectators are warned that on entering the Centre you need to input their vehicle’s registration number into a tablet at the front desk. If do not, you may well face a fine – as one or two have found out to their cost!!
Although it’s a bit of a pain – it’s being done to crack down on the number of people who use the parking facilities and not the leisure centre itself. This will ensure that bone fide users of the facilities at the Centre are not fined for inappropriate use of the car park.
Parking is free – but it might be as well to remember your vehicle’s number plate!!
CLUB MEMBERSHIP
Club membership is defined in terms of the following groups:
Juniors: Those eligible for the u10, u12, u14 sides and Badgers sides. All members in this group must complete a Consent Form signed by a parent / carer.
Members of this Group do not have voting rights at an AGM or EGM
Intermediate: Those too old for Junior Group, but under 18. Members of this group may be selected for the 1st or 2nd team. If so they must pay the appropriate Annual Subscription set for that group. All members of this group must complete the Consent Form and have it signed by a parent / carer. When Intermediate players move up to play for the 1sts or 2nds they should complete the Full Membership Form and will have voting rights at an AGM or EGM. Members in this group will be expected to buy their own club shirts. For more information on this ask your Team Captain or the Club Treasurer.
Full: Adult members Full Membership shall be defined as members playing or non-playing, who have paid the appropriate membership fees, or who have been granted life membership. Members of this Group must complete the Membership Form. Full members, not being selected regularly to play, may instead be asked to pay the Non-Playing members Annual Subscription and pay the appropriate Match fee as and when selected to play. Members of this Group are entitled to vote at an Annual General Meeting or an Extra-ordinary General Meeting.
TRAINING
Club training for adults will continue on Tuesdays at Small Heath Centre between 8.00pm and 9.00 pm. This is will start for the new season on Tuesday 11th September. No cost involved.
Everyone attending training is strongly advised to obtain their own protective equipment – shin pads AND gum shields
Sunday training – 11.00am – 12.00. at Small Heath £2 for all. Starts on 16th September
SUBSCRIPTIONS & LEVIES 2018 / 2019
The Treasurer has recommended and the Management Committee has agreed that there will be no change to the basic subscription rates for the coming season, but a minor change to the adult match levies. Please note the arrangements for Annual Subscriptions and Match Levies listed below. There are financial commitments that have to be met early in the season by the Club and so all members are urged to pay up as soon as possible. Please note that the deadline dates for paying subs and the arrangements for late payers.

Please note that the initial subscription for new members will be £80. This covers the annual subscription and the cost of a numbered red and white club shirt.
Full subscriptions paid after the end of OCTOBER 2018, will be charged at £40.
Full subscriptions not received by the end of November 2018 will then cost £50.
Reduced rates apply in specific circumstances and can be agreed with the Treasurer. It is the Club’s policy that no-one shall be prevented from playing hockey for the Club by difficult financial circumstances.
Levies must be paid in advance, i.e. before the game, or immediately after the game but not in arrears.
Please do not leave pitch side after the game or the dressing room without paying your match levy. Non- payment leads to unnecessary demands on hard pressed kitty masters and complicated accounting.
Don’t wait to be asked for your levy – it’s your responsibility to offer it to the team kitty master collector yourself. Consistent non-payment of match levies may affect team selection.
GOLDEN RULE: YOU PAY ON THE DAY
KIT Home Games - red shirt, white shorts and red socks.
Away Games - white shirt, white shorts and white socks.
Your Management Committee strongly recommends that all players turn out in the correct kit. It has been noted that some players are not correctly kitted out at times. Shirts and socks are available to buy via the Club Treasurer. New players receive shirts as part of their initial subscription. The management Committee would like to see all players wearing the correct and current Club shirts.
This season, your Management Committee is again strongly recommending that gum shields become a necessary part of all players’ personal kit.
TRAVEL ARRANGEMENTS
When Yardley teams travel outside the West Midlands it is a courtesy for players to offer the car driver a contribution towards the cost of petrol for the journey. At a recent Annual General Meeting, it was agreed that the Club would help out with increasing petrol costs for longer journeys. This scheme will continue for 2018/19.
It has been agreed that round trips of sixty miles from the designated meeting place should qualify for petrol support from the Club. For shorter journeys the driver will not pay a levy that week to compensate. Drivers ‘going direct’ without passengers will not qualify for petrol support. Matches qualifying for petrol support will be worked out in advance at the beginning of the season when the list of fixtures is known.
SPORTSMANSHIP ON AND OFF THE FIELD
Yardley Hockey Club puts a major emphasis on sportsmanship on and off the field. We want to maintain this high standard. Players must refrain from bad language in any circumstances. Spectators are rightly offended if they are aware that players are guilty of foul language and / or dissent.
PLEASE NOTE: Yellow cards for misconduct on the field will be reported to the Selection Committee meetings. Persistent offenders will have their selection reviewed. If any member is foolish enough to be sent off permanently, i.e. to receive a red card during the match, he should be aware that the Club may impose a stricter penalty and match ban than the Midlands Hockey Association itself. Persistent offenders may have their Club membership cancelled.
All players should refrain from reacting or retaliating to comments or actions by members of opposing teams, however difficult that may appear in the heat of the moment at the time.
It is particularly upsetting when young club players who take up umpiring should feel the need to write to the Club expressing their unhappiness at having to deal with bad language and indiscipline directed either at them or fellow team mates during a game.
The Club is very grateful for the time given up by all our umpires and is very pleased when younger members feel able to take up the whistle when not playing. Club members are asked respect their umpires and should remind themselves that without them they would NOT have a game.
It is hoped that all players can enjoy their games for whichever team they represent. The Club asks that ALL players remain mindful of their responsibilities at all times.

EARLY SEASON CLUB DAY
This year the Club has again registered as part of the National England Hockey Fest. The aims are quite straight-forward:- to welcome existing club members to the start of the new season and to encourage any new players. With this in mind it is hoped that existing Club members will keep on the look-out for new recruits and that by placing a few strategic posters and reports in the local press, we will hopefully encourage new players to join us. More details soon.
The Club is always on the look-out for new recruits. Already, I have had several enquiries from both ex-players wanting to return and also new members joining. This is good news and your Management Committee urges all current members to keep an eye out for and to actively encourage new players.
Partly to link in with the Hockey Fest and partly to get us all back into the swing of things the Club has arranged its traditional early season get together for Saturday 1st September. All club members are invited to attend at Small Heath – 1.00 till about 4.00 ish. Paul and Zach will co-ordinate proceedings. If you know of any prospective new members, bring them along. If you have them, please try to bring both red and white shirts.

OPEN MEETINGS CLUB POLICY
Both Management Committee and Selection Committee are open to all Club members should you wish to attend as an observer. If you want to come and see how the Club is run, please ask the Secretary for the next meeting date and let him know in advance if you can should you wish to attend.
INSURANCE:
Members are advised that whilst the Club does carry some third-party insurance it does not presently take out any insurance to cover such items as personal injury or loss of possessions. If you wish to be insured against injury whilst on the field of play you should make personal arrangements with your insurers or at least check the current fine print. Should you be asked to stand in as an umpire by another Club to help them out in whatever circumstances please be aware that our insurance will not cover you against any claim. You should, if you accept the invitation to umpire, make this clear to both captains and any other umpire before the game and insist on an indemnity against any subsequent action, however unlikely they feel this to be. If you are likely to umpire other club matches outside the BCHUA system then please contact the Hon Treasurer.
Qualified coaches and umpires are covered for any liability by our Club insurance policy provided they are coaching or umpiring Club members, including junior members.
UMPIRES AND COACHES
This season especially, the Club is very keen to encourage members to take up umpiring or coaching. For a small Club we have a relatively strong umpiring and coaching panel, now sadly recently depleted, New recruits are actively encouraged. The Club may a contribution towards the costs of achieving umpiring and coaching qualifications if you then use these skills for the benefit of the Club. If you are interested please speak to the Hon Club Chairman, Secretary or Treasurer or any of the Club Officials. If you know of any gentlemen retiring from playing but would not mind picking up a whistle ask them to get in touch. We could use their skills.

It is an honour to be selected to play for Yardley Hockey Club. However, misunderstandings about availability can occur or last-minute emergencies can arise. If you have to cry off at short notice you must ring and speak to YOUR TEAM CAPTAIN OR DELEGATED TEAM ORGANISER and tell him directly so that he can make the necessary adjustments to team selection. YARDLEY HOCKEY CLUB PRIVACY POLICY
In common with other clubs and organisations, the Club has updated its Privacy Policy, in line with new regulations. The Club wishes to establish its current active membership. With this in mind our Privacy Policy is listed here for your information. To establish our current membership, the onus is on all members to agree to the policy to indicate active membership. To agree to the policy simply send the Club Secretary an e-mail to that effect.

GENERAL DATA PROTECTION REGULATIONS (GDPR)
The GDPR came into effect on 25th May 2018 and replaced the Data Protection Act (DPA)
To comply with the new rules, the Club is required to send a copy of its Privacy Policy to all its members who need to accept it. Acceptance of the Policy will help the club to establish its current active membership. The new legislation is designed to make our data more secure and therefore your co-operation in this matter would be gratefully appreciated.
Yardley Hockey Club Privacy Policy
The information on members held by the Club includes:
● Personal information as set out in the Club’s Membership Forms for Adults and under 18s when members first join the club. (such as names and addresses, phone numbers, e-mail addresses, vital medical information. Under 18s are also required to have the signature of a parent or guardian. This information is kept by the Club Secretary both in an encrypted computer file, for added security as per GDPR guidelines, and also as a paper version via the membership form completed on first joining the club. Out of date details are deleted when it is confirmed that members are no longer active within the club. Current Members’ details are updated as and when changes are necessary (such as change of address or phone number or change of e-mail address.) Team Captains only hold data relevant to squad members. Badgers details are endorsed with parents/carers counter-signature.
● Photos and videos taken by approved club members may be shared on the club web site or on our Facebook or Twitter pages that are monitored by senior club members. Permission is sought before posting any photographic material. Club Members, also Parents, wishing to take photographs of club activities must complete the England Hockey approved form and send it to the Club Secretary at the start of each season or prior commencement of any club activity. No other photography is approved.
● Details of Committee members are shared on the England Hockey Club Portal, to enable England Hockey to have a ready reference for correspondence purposes.
● The club web site intentionally does not have details of club members installed. Only the Club Secretary’s details are listed there merely as a point of contact for any prospective new members. The web site is intentionally kept an open site for the intention of keeping members informed on up and coming Club news and events, fixtures and match reports. Our web site provider, ClubBuzz is approved by England Hockey, and complies to its policies and regulations.
● Club members’ details are kept as long as they are active club members, for the reasons of the need for communication, member’s welfare, medical information. Ex-players’ data may be kept, with permission, in case of possible need for future communication.
● Yardley Hockey Club holds its members’ details for internal use only. No information will be passed on to any third party for the intent of advertising or any other means. Details, including telephone numbers and/or e-mails are not passed on to any other club member without prior permission.

Yardley Hockey Club web site is a source of news and information regarding the happenings within the Club. The site is regularly updated to contain the latest results, scorers and match reports. You can also find out details of the club’s social events and the minutes of the Management Meetings. If there is anything that you wish, within reason, to have included on the site please let me know – preferably by e-mail.
